Job Summary:

The Director of Supply Chain will own end to end supply continuity, inventory investment, procurement strategy, vendor performance, and warehouse execution across the Columbus and Denver locations. Balance uninterrupted production with disciplined purchasing, inventory accuracy, quality requirements, and cost control, while ensuring all supply chain activities comply with cGMP and STAQ’s quality management system.

Responsibilities:

Inventory Strategy and Availability

  • Manage inventory levels closely while balancing service levels and sufficient stock on hand against working capital targets.
  • Prevent both material stockouts and excess purchases that could lead to expiration or avoidable waste.
  • Evaluate safety stock levels using historical consumption, months on hand, production forecasts, and expected growth or changes in usage.
  • Communicate inventory risks and mitigation plans closely with the President and Operations.
  • Coordinate with Operations to consume short-dated materials before expiration whenever feasible.
  • Manage stock rotation on a first-expired, first-out (FEFO) basis across both sites.
  • Review critical, high value, and long lead time purchase orders to protect supply at both Columbus and Denver without creating excess inventory.

Demand Planning and Supplier Forecasting

  • Develop and maintain forecasts for hundreds of critical items by regularly analyzing the sales and operations planning tools.
  • Represent Supply Chain in the monthly sales and operations planning (S&OP) process, bringing supply constraints, risks, and inventory recommendations to leadership.
  • Balance historical demand patterns against production forecasts, scale up plans, customer growth, FDA shortage list changes, and other drivers that can rapidly increase or decrease material usage.
  • Translate production and growth expectations into purchasing plans, safety stock, delivery schedules, and supplier capacity requirements.

Vendor Management and Strategic Sourcing

  • Lead regular meetings - typically monthly - with critical vendor partners.
  • Maintain frequent communication with suppliers about changing STAQ material and regulatory requirements, open purchase orders, delivery dates, constraints, and expedite needs.
  • Negotiate vendor contracts, pricing, volume discounts, lead time commitments, and rebate structures; partner with Finance on financial terms and economic impact.
  • Establish supplier performance scorecards (on-time-in-full delivery, quality, lead time, responsiveness) and drive corrective action with underperforming vendors.
  • Identify and qualify backup sources for single point of failure items or maintain an actionable contingency plan when an alternate source is not immediately available.

Material Qualification and Cross-Functional Change Control

  • Serve as the subject matter expert for inventory requirements established by internal specifications and quality standards.
  • Determine technically viable alternatives for critical materials.
  • Obtain approval from all affected departments before implementing new or alternate items.
  • Partner with Quality Assurance on supplier qualification, maintenance of the approved supplier list, supplier audits, and quality agreements.

Regulatory Compliance and Quality

  • Ensure purchasing, receiving, storage, and material handling complies with cGMP and good distribution practices.
  • Author, own, and train staff on supply chain and warehouse SOPs; keep documentation inspection ready.
  • Support FDA and state board of pharmacy inspections, customer audits, and product recalls.
  • Multi-Site Operations and People Leadership
  • Lead supply chain, material handling, receiving, and warehouse functions across Columbus and Denver.
  • Manage supply chain and warehouse teams to establish clear priorities, accountability, and communication across locations.
  • Optimize warehouse layout and material flow to improve the efficiency of kitting and related processes.
  • Reduce freight and shipping costs where possible without compromising service or supply continuity.

Inventory Systems, Controls, and Counts

  • Ensure ERP functionality tracks inventory activity in real time and provides reliable operational data; partner with Finance to confirm correct income statement and balance sheet impact.
  • Implement and maintain system reorder points.
  • Implement RFID and/or barcode scanning to improve inventory consumption, tracking, and count accuracy.
  • Own monthly cycle counts and full physical inventories at midyear and year end with support from warehouse teams.
  • Ensure year end counts are accurate, reconciled, and ready for financial audit testing.
  • Review and approve inventory related invoices and investigate inventory discrepancies with Finance and other stakeholders.

Supply Risk and Business Continuity

  • Monitor world events, severe weather, regulatory changes, supplier constraints, and other developments that could disrupt material availability.
  • Assess the item level impact of emerging risks and implement mitigation plans before production is interrupted.
  • Maintain rapid escalation and communication with the President, Operations, suppliers, and affected departments when risks arise.

Key Performance Indicators

  • Supplier on-time-in-full (OTIF) delivery
  • Inventory turns and days on hand
  • Cycle count and physical inventory accuracy
  • Material stockouts and production delays caused by supply
  • Excess, obsolete, and expired inventory write-offs
  • Purchase price variance and cost savings achieved

Education and Experience:

  • BS in Supply Chain/Finance/Accounting/Economics or related field, or equivalent experience; MBA or advanced degree preferred.
  • Minimum 8 years of supply chain, procurement, or materials management experience, preferably in pharmaceutical, sterile, or other FDA-regulated manufacturing
  • A minimum of 3 years experience managing people.
  • Microsoft Office experience with strong excel skills/knowledge.
  • Experience with GL and ERP systems.
  • Working knowledge of cGMP requirements as they apply to materials, suppliers, and warehousing.
  • Strong negotiation, communication, and analytical skills, with a track record of leading change across multiple sites.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer, with regular walking and standing in warehouse and production areas
  • Must be able to lift up to 50 pounds.
